Position Overview:

The HR Administrator works closely with the entire Human Resources team to ensure the efficient operations of the Human Resources department. This role requires a high level of ownership, acumen, and a strong sense of judgement. The HR Administrator must understand business priorities, demonstrate the ability to proactively anticipate needs, have a take charge/ownership attitude, react with the appropriate urgency, and drive department work efficiency. The individual in this position will utilize independent judgment and discretion to perform the administrative tasks for department projects and general day-to-day operational activities. A high level of integrity and discretion in handling confidential information is critical, as well as a pleasant demeanor and professionalism in working with employees and senior executives.

Essential Functions:

  • Maintain a core daily onsite schedule, as set by the CHRO, to ensure the efficient operations of the Employee Experience Department (EXD). Occasionally required to work after regular work hours, including weekends
  • Manage the CHRO and department calendars, when needed, with a high level of insight as to priorities. Schedule appointments, coordinate calendars, which will include proactively identifying and providing solutions for calendar conflicts while communicating with participants of changes
  • Compile updates, files, and maintains employee personnel records (hard and e-copies) according to legal requirements, the EXD filing system, and Company policies and procedures; improves tracking systems and audit tracking; updates and maintains employee personnel information, including post-hire, utilizing internal systems and external systems
  • Maintain the internal EXD wiki pages, in collaboration with the EXD department, and maintain and update the company organizational chart
  • Track all key deliverables for projects in a project management / tracking tool (e.g., wiki), calendaring milestones and reminders and ensuring that items are completed by the project owners
  • Provide expensing responsibilities according to company policy, including budget management duties, reconcile / justify expenses, prepare expense reports, manage and monitor spending of department budgets, and coordinate the year-end budget management process
  • Process Life Event purchases and ensure that employees receive company gifts in a timely fashion
  • Coordinate events, meetings, and off-sites, including planning, arranging, and coordination duties, contract negotiation, meeting arrangements, and travel and meal/refreshment coordination
  • Participate in meetings, as requested, for the purpose of tracking, taking and maintaining ongoing notes, and indicating action items as needed
  • Perform general clerical duties that include creating and updating templates, copying, printing, scanning, shipping, filing, running errands, and producing documents such as reports, memos, agreements, and PowerPoint presentations in a timely and accurate manner

Additional Duties:

  • Perform back-up payroll preparation, on-boarding, and orientation duties
  • Approve/assist with paid time off, various types of leaves, and change requests
  • Work independently and/or with a team on special and non-recurring and ongoing projects
  • Lead small cross-functional teams on special projects and volunteer committees
  • Researches and gathers information for projects, including vetting products and services
  • Assists with ad hoc projects

Eligibility Requirements:

  • Bachelor’s Degree or equivalent experience preferred
  • Proven experience as an HR Administrator, HR Coordinator, Executive Assistant, or similar role
  • 7+ years working in a fast-paced office environment/transactional duties 
  • 4+ years in an HR environment preferred
  • Valid Texas Driver’s License and clean DMV
    record
  • HR certification a plus

Demonstrated ability to ramp up quickly with minimal training and to contribute immediately in a challenging and fast paced environment. Maintains a flexible mindset, willingness to adapt to change
  • Follow-Through: Diligence in completing projects in a timely manner with a high degree of accuracy and with minimal to no supervision
  • Numeracy and literacy skills: Ability to apply basic math concepts, common fractions, decimals, compute percentages and calculate figures and amounts such as discounts; ability to interpret complex data
  • Problem Solving: Able to identify and resolve problems in a timely manner, gather and analyze information skillfully; able to apply independent judgment on regular basis in making decisions
  • Interpersonal Skills: Able to interact with colleagues, executives, customers, and vendors professionally and effectively
  • Technical Skills: Expert typing skills. High level of proficiency with full suite of Microsoft Office and iWork for Mac software, or the ability to learn quickly; ability to navigate the internet with advanced knowledge; proficient with electronic external and internal communication systems, including file sharing software and calendars; ability to communicate with technical experts with the goal of improving EXD processes.
  • Travel - Periodic local and overnight travel may occasionally be required; some by interstate air

Work Environment and Physical Demands

Ability to work in an office environment. Specific abilities required by this job include: Ability to occasionally lift and carry or move up to 20 pounds; Near vision; hearing; ability to transport oneself as needed throughout the day; ability to sit and use computer workstation, including keyboard and visual display terminal, for extended periods of time; manual dexterity (eye/hand coordination); repetitive arm/hand movements
