Executive Assistant to Director of Internal Development

Position Overview: 
The Executive Assistant for the Director of Internal Development provides high-level services essential to the mission and goals of the organization and the day-to-day operations of the Business Operations division by managing the affairs and administrative processes for the Director of Internal Development by performing the duties outlined below.

These are the essential duties for which you'll be responsible for
  • Effectively manages and oversees the day-to-day administrative and operational affairs of the Director of Internal Development of the company
  • Maintains management's busy appointment schedule by planning and scheduling meetings, conferences, offsite business meals, guest arrangements, and regular milestone reminders for ongoing projects 
  • Justifies and tracks expenses for Director of Internal Development
  • Assists in budget management for the company by tracking and reconciling expenses for the entire business operations team
  • Approves PTO requests, bonus pay messages, and manages gift card distribution to the business operations team
  • Plans team building events for business operations team
  • Gathers  data  and  creates  cost  analysis  for  requested  training,  seminars,  and  workshops according  to  budget; registers and processes payments for employees to attend these events
  • Recruitment  assistance,  including managing the appointment  process, scheduling applicants  for phone  and  onsite interviews for the management team
  • Attends  meetings  with  SDI  Development  and  Operations  teams  to  provide  assistance, including taking  and maintaining ongoing notes and indicating action items as needed
  • Performs general clerical duties that include copying, printing, scanning, shipping, filing and running errands
  • Prepare and maintains accurate records according to retention policies
  • Adheres to the policies and procedures of the company

These are the skills, requirements, and experience we require
 
  • High school diploma or equivalent
  • Two years of experience working in a fast-paced office environment
  • Demonstrated ability to work with executives, maintain confidentiality, and to coordinate a high volume of diverse projects, effectively handling competing priorities

Qualifications
  • able to speak clearly and effectively in positive or negative situations 
  • ability to maintain confidentiality and exercise discretion is essential
  • able to utilize excellent communication skills effectively in all written work, editing and writing with proper grammar, spelling, and punctuation
  • able to use time effectively in an unsupervised fashion, pursuing other activities when regular duties have reduced volume; able to complete projects in a timely manner
  • able to prioritize work activities, use time efficiently and work through large projects in a self-motivated manner
