Description

Position Overview

The Support Department and SDI Administrative Assistant performs administrative and office support activities for multiple supervisors. The Administrative Assistant is responsible for the coordination and execution of general administrative tasks to ensure that the day to day operations of the Support and SDI departments run smoothly. The Administrative Assistant will also plan and prepare department events and run necessary errands.

Essential Duties and Responsibilities   

  • Performs calendar maintenance for supervisory staff, including set-up and coordination of meetings and conferences
  • Prepares and justifies expenses (expense report processing) in compliance with Company policies
  • Creates, modifies, and maintains documents for the Support department by successfully using strong Apple software experience (Pages, Numbers, Keynote, Calendar) OR Apple version of MS Office
  • Performs general clerical duties that include copying, printing, scanning, shipping, filing, and records retention and maintenance
  • Assembles internal and external print materials and distributes documents accordingly
  • Assists in coordination of company based events and programs
  • Plans and prepares department events and programs
  • Provides regular milestone reminders to the manager and supervisors for ongoing projects 
  • Processes standard mail, including prepares and mails out cPanel University certifications
  • Adheres to the policies and procedures of the company
  • Exemplifies the cPanel Core Values of Integrity, Respect, Collaboration and Follow-Through

  • Time Management - able to use time effectively under limited general supervision, pursuing other activities when regular activities have reduced volume; able to complete projects in a timely fashion
  • Planning/Organizing skills - able to prioritize work activities, use time efficiently and work through large projects in a self-motivated manner; ability to plan events that run smoothly

  • Computer knowledge - proficient with Apple computers; strong knowledge and skills in entering, organizing, and retrieving data using  computerized spreadsheets and databases, in preparing reports, presentations and correspondence using Word, Excel, Pages and Numbers and other software, and in use of the Internet for research, communication (including email) and data exchange; ability to quickly learn internal systems

 

  • Problem solving skills - able to identify and resolve problems in a timely manner, gather and analyze information skillfully; able to apply independent judgement within a limited scope
  • Attention to detail - thoroughness in accomplishing a task for all of the areas involved, double-checking the accuracy and quality of own work product to provide accurate, precise, and consistent work
  • Interpersonal skills - able to interact with co-workers and customers professionally and effectively, applying diplomacy as needed, including the ability to establish and maintain strong work relationships with management; displays energetic personality

 

  • Texas Driver’s License and Clean DMV driving history

 

  • Education/Experience - High school diploma or equivalent
  • Typically requires minimum three (3) years of general administrative experience working in a fast paced office environment. Experience in event planning and event coordination. Strong working knowledge of administration in a technical environment. Industry experience preferred. 

 

  • Travel - Occasional local travel may be required

  • Environment - Office environment. Well-lighted, ventilated.  Temperatures may vary, but primarily constant.

Specific abilities required by this job include:

  • Ability to occasionally lift 25 pounds 
  • Normal vision and hearing acuity 
  • Ability to transport oneself as needed throughout the day
  • Ability to sit and use computer workstation, including keyboard and visual display terminal, for extended periods of time
  • Manual dexterity (eye/hand coordination); repetitive arm/hand movements
