Executive Assistant to Director of Development Operations
 

Position Overview:
The Executive Assistant for Development provides high-level services essential to the mission and goals of the organization and the day-to-day operations of the Product Development division by utilizing independent judgment and discretion to manage the affairs and administrative processes for the Director of Development Operations and the Department Managers by performing the duties outlined below.

 

These are the essential functions for which you will be responsible for:

 

  • Adheres to set schedule in order to support the efficient operations of the Development Department (regular attendance and punctuality)     
  • Effectively manages and oversees the day-to-day administrative and operational affairs of the Development, Documentation, Quality Assurance, and Scrum Master departments
  • Manages busy executive calendar, including schedules and coordinates meetings, conferences, and offsite events for the Development Team and other Development Managers
  • Justifies expenses for the Director and Development Managers and assists in budget management for the company by tracking and reconciling expenses for the entire department
  • Approves PTO requests for the Development Teams and provides data entry of pay messages for the department
  • Gathers data and creates cost analysis for requested training, seminars, and workshops; registers and pays for employees to attend conferences, seminars, and workshops
  • Recruitment assistance, including manages appointment process, schedules applicants for phone and onsite interviews for Directors and Development Managers 
  • Collaborates with the Senior Executive Assistant to maintain schedules for meetings between Director and the CEO
  • Performs general clerical duties that include copying, printing, scanning, shipping, filing and running errands
  • Maintains detailed confidential records on department personnel according to Company and retention policies
  • Creates, modifies, and maintains documents for the Development Team using word processing and spreadsheet software
  • Occasionally performs some personal assistant duties 
  • Adheres to the policies and procedures of the company

Eligibility Requirements:

 

  • High School diploma or equivalent, undergrad degree preferred
  • Two years of experience working in a fast paced office environment reporting to executive level

 

Qualifications:

 

  • able to speak clearly and effectively in positive or negative situations 
  • ability to maintain confidentiality and exercise discretion is essential
  • able to utilize excellent communication skills effectively in all written work, editing and writing with proper grammar, spelling, and punctuation
  • able to use time effectively in an unsupervised fashion, pursuing other activities when regular duties have reduced volume; able to complete projects in a timely manner
  • able to prioritize work activities, use time efficiently and work through large projects in a self-motivated manner
