Description

This is a contract to hire position. This position does not offer relocation.

Position Overview

This is an entry level role responsible for overall front office activities and for directing and coordinating office services and related activities. The Office Assistant will assist the Admin Team in coordination of resources.

 Essential Duties and Responsibilities

Performs general clerical duties that include copying, printing, scanning, mail/delivery services and filing and running periodic errands; provides administrative support to company Managers and Executives as needed

Set up and break down of lunch, fill vending machines and sodas, stock inventory

Maintains regular office hours as coordinated with direct manager

Creates, modifies, and maintains documents for the Internal Operations Department using word processing and spreadsheet software

Orders lunches for three shifts at cPanel and monthly Sweet Treats - making sure to have a variety for all allergies and dietary restrictions for all employees, while researching and negotiating prices for lunch vendors and providing an alternative to daily buffet

Ensures company car is kept clean and up to date on registration and inspection

Assists in creating and designing monthly company newsletter

Assists in coordination of company based events

Supports Facilities Manager with managing and maintaining the security badges and vending machine system

Schedules and maintains various Managers’ calendars for meetings and interviews

Manages and justifies expenses

Adheres to the policies and procedures of the company

Education/Experience – High School diploma or equivalent

Numeracy and literacy skills

Travel - Occasional travel will be required

Noise Level – Moderate

Environment - Office environment: Well-lit, ventilated.  Temperatures may vary; primarily constant.

Near vision and hearing
